The type of personal information we collect

We currently collect and process data of farm members, volunteers, staff, customers and service users. This may include: 

  • Name, email address, telephone number, address, payment details 

In relation to volunteer or job applications we may also collect the following: 

  • National insurance number 
  • Previous employment history
  • Health information
  • Qualifications
  • Details of convictions/offences

How we get the personal information and why we have it

The personal information we have is provided to us directly by you for one of the following reasons: 

  • To have records of farm members in order to facilitate their admission to the farm 
  • To be able to contact farm members for renewal of membership 
  • For marketing purposes where you have given consent 
  • Credit card or payment card details upon making payments in the farm shop 
  • To allow assessment of whether we are reaching our charitable aims (e.g. analyzing the postcode zones we are primarily reaching) 
  • To comply with legal and regulatory obligations such as in our recruitment processes, both for paid and volunteering roles 
  • To allow for online purchases through the farm shop 

We have CCTV in operation onsite which may be viewed by staff. 

We have webcams in some of the animal areas which may stream live to our website and social media channels. These are placed in such a way that they do not capture visitors. However, if you do enter these areas (which is only permitted for specific staff members, service users and volunteers) then your image will appear on the livestream. We will obtain consent from anyone who accesses these areas.  

We never share personal information with other organizations or individuals. 

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are: 

  1. Your consent. You are able to remove your consent at any time by contacting us using the details at the top of this policy.  
  2. We have a contractual obligation. 
  3. We have a legal obligation. 
  4. We have a vital interest. 
  5. We need it to perform a public task. 
  6. We have a legitimate interest. 

How we store your personal information

Your information is stored in secure third party systems and/or on paper which is stored securely. 

We keep your personal data for no longer than five years unless you continue to remain subscribed as a member or on a mailing list or active as a volunteer/staff member. 

Your data protection rights

Under data protection law, you have rights including: 

Your right of access – You have the right to ask us for copies of your personal information.  

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.  

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.  

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.  

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances. 

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances. 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
